Alfresco combines document management, process automation, and records governance in one platform: Alfresco Content Services holds the content, Alfresco Process Automation runs the workflows on it, and Alfresco Governance Services applies the retention and classification rules.

Keeping the three together is the point. A document system that does not know its own retention rules, or a workflow engine that cannot see the documents, is how compliance gaps open.

Governance Services automates the whole record lifecycle, from capture through retention to defensible destruction, with classification and security controls applied by rule rather than by whoever filed the document.

The records capability is certified against United States Department of Defense standards 5015.02 and, since 2024, Manual 8180. Those are checkable public standards rather than marketing claims, which is the reason the platform appears so often in regulated and public sector tenders.

Approvals, reviews, and case-style processes are modelled in a low-code environment and run against the documents themselves, so an approval is recorded on the record rather than in somebody’s mailbox.

Cloud-native architecture means process and content scale independently, which matters when a quarterly filing cycle puts ten times the normal load through the same system.

Alfresco Search Enterprise runs on standard Elasticsearch or OpenSearch, with no product-specific fork to maintain, so the search tier can be run and scaled by people who already know those tools.

Permissions are indexed alongside the content rather than filtered after the query, which keeps result counts accurate and stops a search quietly listing documents the user cannot open.

Alfresco Content Services Community is open source and freely downloadable; the enterprise editions add supported capability on the same core. Hyland has kept that heritage since acquiring Alfresco in 2020 and joined the Linux Foundation in 2022.

Built on open standards and documented APIs, it integrates with the systems the content already comes from, Microsoft 365, Google Workspace, SAP, Salesforce, and Outlook among them. For a repository expected to outlive several surrounding systems, an open format is a long-term insurance policy.
